Job Description for the Executive Administrative Assistant Position

Purpose of Position : Manage, organize, schedule, and maintain electronic, telephonic (including voice mail) and physical information for executive leadership staff .
Main Responsibilities:
Daily
- Provide full administrative support to President/CEO as the first and primary responsibility
- Provide scheduling, conferencing and voice mail help for the Director of Development and the COO/CFO
- Schedule meetings as required for internal and external meetings including Board/Committee meetings
- Answer Phones, assist with voice mail needs as requested, insure phone back-up is in place when away from your desk or out of the office.
- Maintain office attendance schedule and create weekly lists of planned absences by employee for President/CEO and COO/CFO.
- Sort & Deliver Mail to all internal employees
- Greet Visitors and insure their comfort while waiting for a meeting.
- Maintain calendar and scheduling Group Wise for President/COO, Director of Development and COO/CFO.
- Handle ticket assignments for President & Director of Development
- Maintain files and records and assist in the proper use and retrieval of information from the Shared Drives for Leadership use.
- Supervise the use and maintenance of office equipment in concert with the Business Manager.
- Interact directly with Board Members and their staff, other key leaders in the community, and artists in a fully professional and thoughtful manner. React with appropriate sense of urgency as the situation at hand dictates.
- Maintain office supply/storage area and coordinate supply replenishment with the Business Manager.
- Maintain Foundation Calendar (follow-up with Development Director & Consultant to ensure timely grant applications to foundations)
- Prepare correspondence, ensure spelling accuracy and proper use of English and grammer
Weekly
- Schedule meetings and coordinate activities and materials related to board members and their committee meetings.
- Work with Director of Development and Development Consultant to gather supporting materials for grant applications to foundations and other corporate and governmental organizations as needed.
Quarterly
- Coordinate, prepare/take, and distribute board minutes and related materials to all parties in a timely manner.
Semi-Annually (6 months)
- Create your personal scorecard of success against this job description and identify your accomplishments, your personal areas for improvement, and your training needs for subsequent discussion with the President/CEO and the COO/CFO.
As needed
- Provide general administrative support to Director of Development, COO/CFO, leadership staff, general staff, and Board of Directors. More details provided under daily and weekly requirements.
Performance reviews
- Initial review after 30 days, formal review at 6 months with an opportunity for an increase in compensation, and annual reviews thereafter.

As the summer home of the Philadelphia Orchestra, and on par with Wolftrap, Tanglewood, Ravinia, and the Hollywood Bowl, Philadelphians enjoy a long-standing tradition of concert going and consider The Mann to be the best place for outdoor summer entertainment.
Duties
The ideal candidate should enjoy the performing arts, personal interaction with donors, and have the vision and skill set to increase The Mann’s Annual Fund. The Director of the Annual Fund is a crucial link to all Mann donors and is responsible for planning, developing and implementing a strategic individual donor campaign primarily through direct mail solicitation and individual cultivation. This individual will work as an integral member of the Development Department in strategizing its approach to individual donors and will also research, create, maintain and track prospects in our donor base. Most importantly, the Director must cultivate positive relationships with donors through the coordination and support of special events and servicing donor inquiries. This position reports to the Vice President of Institutional Advancement and will be asked to write solicitation and acknowledgement letters and other necessary correspondence. He/she will also manage and fulfill individual gift benefits for individual giving at all levels while maintaining accurate recording of gifts from donors through management of the development database.
Qualifications
A minimum of five years of experience in fundraising with a confirmed record of success, preferably in a performing arts development office. Candidate must have exceptional organizational and communication skills; be detail-oriented, and have substantial experience in developing and managing an annual campaign including donor benefits, cultivation and stewardship. The candidate must also having a working knowledge of budgets and other financial applications as they relate to donor philanthropy. The candidate must be proficient in the use of Raiser’s Edge with several years of experience working with this database. Working knowledge of Tessitura is a plus. The successful candidate will have excellent writing skills, be an energetic self-starter, and possess the ability to work both independently and as part of a team in a fast-paced and collaborative environment.

This key position will be responsible for assisting with overall marketing and communication strategy, implementation and coordination of day to day efforts for a wide range of performance genres ranging from classical, world, jazz, pop music and dance to urban shows, by selling tickets via season tickets, single tickets and group sales through direct mail, advertising, electronic and other targeted marketing campaigns. We are currently seeking a seasoned professional for the following position: Assistant Director of Audience Development and Communications. Under the general supervision of the Director of Audience & Communications and as an active member of the Management team, the successful candidate will be charged with executing the marketing and promotional plan for the Mann Center. The Assistant Director will be relied on to oversee and support sales strategies goals, procedures and policies as designed by the senior management team. Key functions will be supervising and or execute the daily operations including advertising, public relations efforts, print material schedule/mailings. The position involves managing the Marketing & Communications department staff, consisting of one full-time Print Marketing Manager and one full-time E Marketing Manager, and three part-time seasonal assistants. Requirements: A solid background in the performing arts presenting field; knowledge of marketing plan development, timetables and working with budgets. Knowledge of the Philadelphia performing arts market; knowledge of the public and private sector performing arts administration infrastructure; detailed knowledge of methods of advertising for the arts. Knowledge of geographic areas for distributing flyers to effectively reach targeted audiences; knowledge of broadcast, print and production contracts and invoices; ability to carry out marketing projects from budgeting to completion; skill in negotiating media buys; ability to work with frequent interruptions and to manage multiple tasks with competing deadlines in a self-directed, prioritized manner; flexibility to meet changing needs and priorities as they occur. Ability to work cooperatively as a member of the Marketing team; ability and willingness to work weekends and evenings as required. Working knowledge of desktop graphic design software; sufficient to organize and direct the workflow of the department. Working knowledge of Press and Media Relations; sufficient to organize, direct and assist in the workflow of the communications. Strong computer literacy, particularly with MS Word/Excel, databases and ticketing systems.
RESPONSIBILITIES
- Supervise and execute marketing/sales campaigns and segment/channel strategies for all earned income producing activities including classical and non-classical season, benefits, special events, festivals and education programs.
- Maintain overall responsibility for expense budget management, updating and revising projections as necessary; monitor daily income daily for The Mann Center.
- Identify and access new market segments to broaden the ticket base. Develop market research plan and develop strategies to increase sales revenues and attendance capacity. Develop strategies and policies for pricing and utilization of ticket inventory to maximize income.
- Conduct regular analysis of single ticket sales and group ticket sales, including sales trends, pricing, and customer buying patterns.
- Exploit technologies to develop more sophisticated marketing strategies through better data and market segmentation. Work with The Philadelphia Orchestra to access data on season ticket and single-ticket buyers, facilitate and improve the customer experience. Liaison with Ticket Philadelphia and Ticketmaster on sales policies and customer service issues.
- Identify new opportunities to engage customers and sell tickets through new digital technologies including networking websites, blogs and other digital social networking opportunities.
- Develop website plan for enhancements and state of the art online ticket sales and contributions and as a communications and media interface.
- Interfaces with staff and outsourced consultants.
- Participate in and actively manage the media partner relationships.
- Assist with the development of a merchandising plan.
- Part of the marketing team to create a brand image that unifies and focuses the visual and communication impact of the The Mann Center.
- Facilitate long term strategic institutional positioning plan, both locally and nationally, in collaboration with senior staff.
Manage and execute press strategies, in consultation with outsourced PR firm and seasonal staff to gain local and national attention for the institution. - Assist with press releases and story ideas to promote The Mann Center’s education and community outreach programs as well as institutional news and events, season programming announcements, board appointments and staff news.
- Liaison with major tourism and hospitality organizations, as well as other regional institutions to pursue shared public relations opportunities.
Requirements
Knowledge of classical and popular music and a minimum of 3 years marketing and advertising experience at a managerial level; experience with major non-profit cultural performance institution(s); experience/skill(s) in marketing events within extremely competitive environment(s); previous experience with season ticket, single ticket, and group sales campaigns which include telemarketing, direct mail and e-commerce, and WEB related direct marketing components. Knowledge and experience in the Philadelphia performance market preferred.

This position will be responsible for the management, coordination and execution of the Mann Center’s digital/electronic presence. This individual helps to formulate marketing and content strategy —encompassing but not limited to social media, email marketing, broadcasting, advertising—and executes these strategies on a daily basis. S/he manages the E marketing program as well as updating portions of the Mann Center’s website. S/he will steer the website and its online extensions to insure a coherent presence across all interactive media channels to increase awareness and revenues for the Mann Center for the Performing Arts.

The ideal candidate possesses a strong understanding of web marketing technology and knows how to use electronic media to enhance the Mann Center’s objectives. RESPONSIBILITIES
- Write, compile and edit emails on behalf of the Mann Center collaborating with departmental managers and stakeholders from Marketing, Artistic Programming, Development, Education, Operations and other departments.
- Work as part of the marketing department team to strategize online E marketing; advise on emergent interactive advertising opportunities and analytics.
- Actively coordinate, grow and participate in the Mann Center’s social media efforts.
- Formulate segmentation and targeting strategies; pull lists and deploy campaigns.
- Implement testing and coding for analytics tracking.
- Provide regular reporting of E marketing performance, highlighting relevant trends including open/click-through rates, traffic and revenue generated from electronic efforts.
- Update manncenter.org and social media networks, particularly event-related information; oversee the posting of home page updates and other updates in interior pages; maintain quality assurance.
- Collaborate with Director of Audience Development & Communications and other members of the marketing team to build calendars and timelines; manage deliverables across numerous departments.
- Keep current on E marketing and social media trends/ innovations and make recommendations on new features and applications.
- Collaborate closely with IT department on website maintenance, updates, content planning and to align marketing strategies with technology strategies.
- Monitor the E marketing of other cultural institutions and relevant for-profit businesses.
- Perform concert duty and occasional volunteering for events.
Qualifications
- 2-3 years credible electronic marketing experience required and comfort with content management systems and web analytics.
- Attention to detail, excelling in organizing and prioritizing; schedule-driven and results-focused.
- Current awareness of electronic marketing news; a record of participation in and passion for new media marketing.
- Ability to help to grow a dynamic and vibrant electronic marketing culture while respecting and functioning within a more traditional driven environment
